How to Request a Teleconference

If you learn of an upcoming teleconference and are interested in having it received at VCU-MCV, follow these procedures:

1. Contact the person(s) or organization offering the teleconference and ask them for information about licensing fees, taping rights, etc. Make sure the licensing fees -- if any -- are acceptable to you and/or your department.
2. Contact MSS to request the downlink. Share with us any information you have regarding air times and transmission type. (We can receive C-Band or KU-Band signals. If the conference is being tranmitted via compressed video, please contact our Video Services staff for assistance: 828-6283)
3. Contact a room scheduler to arrange the use of the viewing room that will best suit your needs.

4. Contact the teleconference provider and confirm your participation. Request all available information regarding start and stop times, video frequency, etc. Also request any related handouts or materials that may help your audience.
5. Forward all technical information to MSS staff. If you want a videotape copy of the program, send us a copy of the license agreement granting this right.
6. Advertise your teleconference by visiting the University Calendar webpage and choosing the "Submit an Event" option.

Remember, when you call us, we'll need the following information:

  • Your Name, Department, Phone Number and Budget Code
  • Name of the Event
  • Date and Times of the Event
  • Satellite, Channel and Frequencies Used (this information will usually be sent to you when you subscribe to an event)
  • Where you will be viewing the event
