Distance Education Facilities: Policies

The following policies are in effect for the reservation and use of Cabell Distance Education Room B-35 and TML Distance Education Room 2010:

  1. Distance Education events will be given first priority when scheduling the rooms.
  2. All Distance Education events require at least one week (seven calendar days) advance notice.
  3. Where vacancies exist, other events (those not classified as "Distance Education," and which do not require the use of compressed video technology) may be scheduled in the rooms after the deadline for Distance Ed event scheduling has passed (i.e. six calendar days or less before an event).
  4. All reservations require a valid University budget code.
  5. Use of Cabell Room B-35 (and in some cases, TML 2010) for Distance Education events requires operational assistance from MSS staff. These services are provided for a fee*.
  6. Food and drink are not allowed in the rooms under any circumstances. Fines apply.
  7. Room furniture may not be re-arranged by users under any circumstances. MSS staff will re-arrange stage furniture and/or tables to meet the needs of a specific production or to accomodate handicapped users, were necessary.
  8. Reservations may be made via phone or email.
  9. No reservations are final until confirmed by MSS.
  10. Users are required to meet with MSS staff in advance of their event to receive training in the operation and capabilities of the room.
  11. Users will be charged for technical assistance and materials provided in support of distance education events. Customized estimates will be provided upon request.
  12. Users who cancel a supported event with less than 24 hours notice will be charged a fee*. Users who do not cancel but fail to appear will be charged the full price of a supported event.

Operator Support

In order to utilize the conferencing capabilities of Room B-35, MSS staff will need to be present to act as a "director" for each event. The MSS director will operate a control booth adjacent to the room, providing connection to remote sites, control of cameras, plasma screens and audio levels and providing professional lighting for broadcast.

In contrast, TML 2010 has been constructed as a user-supported facility. Many events held here will not require the presence of an MSS technician, though in some cases this may be desirable.
