Important timeline information about using Fiscal Year funding for projects

Planning to Use Year-End Funds?

Projects using funds that expire in the current fiscal year must be completed, accepted, billed, and paid before June 15.

Please allow adequate lead-time for:

  • planning and design
  • completing the purchasing cycle
  • the actual installation. 

Keep in mind this general rule:

  • the bigger the job, the longer the lead-time

We will accept jobs continually, but cannot guarantee that we can complete the project and use funds from the current fiscal year unless adequate lead-time is allowed.

Use the following information as a general guideline for voice and data requests

Project Scope

Cut-Off Date

Jobs under $5,000, fewer than 15 voice lines, voice mail boxes, disconnects, etc.

May 1

Jobs between $5,000 and $50,000, 15 or more voice lines, voice mail boxes, disconnects, etc.

April 1

Jobs over $50,000

March 1

Any job requiring City permits

February 1

  • If there is a possibility of using year-end funds for a project, please do not wait until the last minute!
