Share a Content System file with person at VCU

To share a file with a person within the VCU community, you must set permissions (read, write, delete and/or manage) on the file you wish to share. The recipient of the shared file must be notified that a file has been shared. To retrieve the shared file, the recipient must search the Content System for the file. Another option is to e-mail the file link to the recipient. For more information about the e-mail option, go to "E-mail a shared file link to a person."

To Set File Permissions to Share a File:

Open Blackboard and click the Content System tab.

Locate the file you wish to share and check the box in front of the file name.

Click the Share icon under the Permissions column to open the Permission Manager.

Click the Add Users icon located on the menu bar.

Click the Browse button to open the Search menu. Use user name or last name for your Search Field.

Check the box of the person you wish to grant permission and click Submit.

 

Note: The recipient of the file must be notified that the file has been shared and now may search the Content System for the file. For more information, go to "Search the Content System for a Shared File."

 

Email a Shared File Link to a Person at VCU

An email may be sent to the recipient of the shared file through the Content System. There is a problem opening the link from the email, but the work around is addressed under Open a Shared File from from an E-mail.

Locate the file you have shared and check the box in front of the file name.

Go to the Actions Bar, select E-mail Items from the drop down menu and click Go.

Enter the e-mail address of the recipient, add to the message if desired, and click Submit to send the e-mail.

Important Note: Blackboard will create an alphanumeric file name that appears in the e-mail message sent. To open the file, go to "Open Shared File from an E-mail". The recipient may search the Content System, but the native file name will need to be provided to search and bookmark the file. For more information, go to Search Content System for a Shared File."

Open a Shared File from an E-mail:

Login to Blackboard.

Open the e-mail message with the alphanumeric file name of the shared file.

Copy the file link in your e-mail and go back to your Blackboard screen and paste the link into your browser address window.

Click Go and Open to open the file in the browser.

To save the file to your desktop, do Step 1-3 and select Save.

 

Note: After the file is loaded in the browser or saved to the desktop, the native file name will appear. Future searching in the Content System may be done by using native file name. For more information, go to "Search Content System for a Shared File."

 

 

Search Content System for a Shared File

A shared Content System file must be viewed through the Bb Content System or a special pass must be granted to those outside the VCU Community. For more information, go to the CMS Manual - Chapter 4: Manage Passes.

 

To search for a shared file:

Login to Blackboard and click the Content System tab.

Click the Tools icon on the Content System menu at the lower left of the screen.

Select Search Content from the Tools menu. You will enter the Basic Search window.

Go to File and Folder Name under Search Criteria and maintain the default setting of Contains.

Type one word that appears in the file name of the shared file.

Note: Spaces in the title are not recognized by the Content System; therefore, we recommend typing one word that appears in the file name.

Click Submit to enter the search. This search will bring up all files that you have access to and the name "project" appears in the title.

Click the file name to open the file or bookmark the file. For more information, go to "Bookmark a Shared File."

 

 

Bookmark a Shared File

You may create a bookmark to any file in the Content System. It is useful to bookmark a shared file to avoid the need to search for the file during every use.

 

To create a bookmark:

Search the Content System for the shared file. For more information, go to "Search Content System for a Shared File."

Select the file by checking the box in front of the file name.

Go to the dropdown menu on the Actions Menu Bar, select Bookmark Items and click Go.

Enter the Bookmark Name in box.

Click the Submit button. This will bring up the Bookmarks screen with you new bookmark.

 

To open a bookmarked file:

Login to Blackboard.

Click the Content System tab.

Click the Tools icon on the Content System menu at the lower left of the screen.

Select Bookmarks from the Tools listing.

Click the file name and click Open.
